# How a Roundhouse job runs from your side

The scope, photos, address and access window are agreed before the job reaches you. This is what we expect from accepting it to closing it.

If anything is missing or looks wrong on a job, ask before you drive.

## Every job arrives with the same record

- **A job number.** It goes on your invoice.
- **The address and unit.** With what was reported and the photos the tenant sent.
- **The approved scope and price.** What you are paid for.
- **The access window.** Already agreed and the tenant told.

## You enter as the landlord's contractor, under the Act

Ontario law lets a landlord enter a rental unit only as sections 26 and 27 of the Residential Tenancies Act allow (section 25). For repair work that means two routes:

- **With written notice.** At least 24 hours ahead, naming the reason, the day and a time between 8 a.m. and 8 p.m. (section 27). The property manager or Roundhouse gives it, and you arrive inside that window.
- **Without written notice.** In an emergency, or when the tenant agrees at the time of entry (section 26).

## In an occupied unit

- **At the door.** Give the tenant your name, your company and the job number.
- **Protect the floor.** Drop sheets down before tools come out. Shoes covered or off.
- **Utilities off only as long as needed.** Water, gas or breakers, and tell the tenant before you do it.
- **Stay off the lease.** Do not discuss rent, the lease or the landlord. Refer questions to the property manager.

Leave the work area clean and take the old parts and packaging with you unless the job says otherwise.

## Photos are how the job closes

Before, during where the work will be hidden, and after. The part that came out. The serial plate on any appliance or water heater. The camera clip where a drain camera was run. The property manager uses them to show the owner the work was done, and they are part of close out.

## When the scope changes, stop first

Stop before extra work starts. Send photos, what you found and a price. The change goes to the property manager's approver, and you carry on once it is approved and added to the job. Work done without approval cannot go on the invoice.

## One invoice, paid seven days from close out

## Questions

### Can I go into a unit if the tenant is not home?

Only in the window the written notice gave, and only when the job says entry without the tenant is arranged. Otherwise wait for the tenant or call us. A repair request is not, by itself, permission to enter.

### What if the tenant asks me to fix something else while I am there?

Say it will be passed on, note it, and tell us. It becomes its own job after the property manager approves it. Do not do it on the spot.

### What if the tenant offers to pay me?

Decline. Tenants never pay on a Roundhouse job, for the work or for extras. Roundhouse pays you.

### What if I am running late past the window?

Call us before you knock. The notice may no longer cover you.

### Who handles a callback on my work?

It comes back to you first, with the original job record and photos.
