# Terms for trades working with Roundhouse

Version 1.0. Effective 2026-09-28.

These terms apply to every job Roundhouse Maintenance Group Inc., trading as Roundhouse Maintenance Group ("Roundhouse", "we"), books with your business ("you"). A signed subcontract between us overrides them where the two differ.

## Pay

1. You quote a rate for the job. Roundhouse pays that rate.
2. Nothing is deducted from your invoice. There is no platform fee, no take rate and no charge to be paid on time.
3. Payment goes out within seven days of close out, by e-transfer or EFT.
4. Roundhouse sets its own price to the client separately. What the client pays does not change what you are paid.

## What close out means

1. The work in the approved scope is finished.
2. Photos before and after are on the job record.
3. You have sent an invoice that matches the approved scope, with your HST number if you are registered.

The seven days start when all three are done.

## Documents you keep current

1. A WSIB clearance, current for every day you work on a Roundhouse job. A clearance lasts up to 90 days; renew it before it runs out.
2. Commercial general liability insurance, at the limit confirmed with you when you applied, naming Roundhouse as an additional insured.
3. Any licence the work needs. We only use ECRA/ESA-Licensed Electrical Contractors. Gas work needs TSSA registration and certified gas technicians.
4. If a document lapses, new bookings stop and payment waits until the renewal is on file. Without a clearance, Roundhouse can be liable for your unpaid WSIB amounts, which is why this rule has no exceptions.

## Scope and changes

1. You work to the scope on the booking.
2. If you find more work on site, send photos and a price before doing it. The change waits for approval.
3. Work done outside the approved scope without approval is not paid.

## In the tenant's home

1. Enter only on the written notice the landlord gave, with the tenant's consent at the door, or in an emergency. Notice entry is between 8 a.m. and 8 p.m. on the day in the notice.
2. Give your name and the job number when you arrive.
3. Protect floors and furnishings, keep the work area safe and leave it clean.
4. Never take payment from a tenant, and never offer the tenant or owner other work.
5. If you cannot get in, or something looks unsafe, tell our team before you leave.

## Subcontracting

1. Do the work yourself or with your own workers.
2. Another business may only do a Roundhouse job with our written approval, after it passes the same checks.

## Tenant and client information

1. Tenant names, phone numbers, unit details and access codes are for the job they were given for. Do not keep, copy or use them for anything else.
2. Delete access codes and tenant contact details when the job closes.
3. Do not post photos of a unit, a tenant or their belongings anywhere outside the job record.
4. Photos, notes, quotes and invoices you add to the job record are shared with the client for that job, including through its building tracking portal and, where the client asks, its property management software.

## Callbacks and warranty

1. If your work fails within 60 days to 2 years depending on the work, you return and fix it without charge.
2. The return visit is booked through Roundhouse, with notice to the tenant as before.

## Your business

1. You are an independent business, not an employee of Roundhouse. You decide how the work is done, supply your own tools and pay your own taxes.
2. Accepting a job is your choice. There is no minimum volume on either side.

## Ending the arrangement

1. Either side may stop booking or accepting new jobs by written notice.
2. Jobs already started are finished, closed out and paid on these terms.

## Governing law

These terms are governed by the laws of Ontario and the federal laws of Canada that apply there.
