# Repairs your board and funders can trace to the dollar

## A small staff should not be chasing every trade

Most providers run lean: a few staff, a long list of trades, and a board asking where the money went. Roundhouse is one vendor for every repair, and every job comes back documented the same way.

## Entry rules follow the unit, rental or co-op

In a non-profit rental, entry follows the Residential Tenancies Act: 24 hours written notice (section 27), consent at the time, or an emergency (section 26). Co-op member units sit outside most of the Act (section 5(c)), so there we follow the co-op's by-laws and notice rules.

## Turnovers between households, planned back from move in

1. **Inspection.** Every room photographed when the household leaves.
2. **Scope to approve.** A written quote, sent from site the moment the inspection ends.
3. **Repairs, paint and pests.** In order, with pest control by licensed exterminators.

## Records built for funded work

- **The scope.** What was reported, found and done, in plain words.
- **Photo pairs.** Before and after, timed and taken on site.
- **The contractor.** Roundhouse, the type of trade that did the work and the licence it needed.
- **The cost.** One invoice matching the approved scope, under a written [warranty](https://roundhousegroup.ca/warranty/).

We only use ECRA/ESA-Licensed Electrical Contractors.

## Procurement on your terms

We quote to your RFQ, send insurance certificates on request, and check each trade's WSIB clearance before booking and before every payment. Planned work such as heating season checks is logged by building, so the next capital plan starts from facts.

### Do you respond to RFQs?

Yes, on your terms. Send the scope, the sites and the documents you need back, and the quote follows your format.

### Do co-op units follow the same entry rules?

Member units of a non-profit housing co-operative are outside most of the Residential Tenancies Act under section 5(c). We follow the co-op's by-laws and notice rules there, and the Act's rules for any unit that is a tenancy.

### Can you document work for a funding program?

Every job closes with the scope, photos before and after, and the cost on one record. Tell us what the program asks for at the start and the record is built to it.

### What does a service call cost?

$150 plus HST, credited to the job when the work goes ahead with us. Larger work is quoted in writing before it starts.

### What counts as an emergency?

Plumbing, electrical, major appliance and heating or cooling failures, lockouts, and a door that will not lock. These are answered 24 hours a day, 7 days a week, by phone and text. This website is not an emergency line.

### Can you start with one funded project?

Yes. Send the scope and the reporting requirements. We confirm what the quote and close out record will contain before the first visit.
