## Separate trades mean separate files at audit time

A different contractor for the boiler, the drains and the pests means three sets of certificates, three invoice formats and no single history for any asset. Roundhouse is one vendor, and every job lands in one record per site.

## Planned and reactive work, one history per asset

An audit reads a written schedule by component and a dated record of each visit. BOMA BEST asks for a documented preventative maintenance program and proof it is carried out. Breakdowns, planned visits and [heating season service](https://roundhousegroup.ca/services/hvac/heating-season/) sit in one history per unit, with before and after photos on every visit.

## The compliance file is kept for you

- **WSIB clearance.** Checked before booking and before every payment, under WSIB policy 14-02-19.
- **Insurance.** Every trade insured, and certificates sent on request.
- **Licensed work.** Gas by TSSA registered contractors and pest control by licensed exterminators.
- **Named on the record.** Every job names Roundhouse as the contractor, the type of trade and the licence the work needed, and [how we vet trades](https://roundhousegroup.ca/how-we-vet-trades/) is published.

We only use ECRA/ESA-Licensed Electrical Contractors.

## Occupied sites run to tenancy rules

Where occupants are tenants, entry follows the Residential Tenancies Act: 24 hours written notice, consent at the time, or an emergency. We book the occupant, give the notice and keep the time on the record.

## Quotes and reports from site, into your system

Quotes and inspection reports are sent from site the moment the visit ends. Every job, photo and invoice sits on your building tracking portal, and goes into the property or work order software you already use.

## Questions

### Do you do planned maintenance or only call-outs?

Both, through the same intake and on the same record. A planned visit and a breakdown on the same unit sit in one history.

### Can you cover more than one site?

Yes, anywhere in our service area. Each site keeps its own access rules, contacts and log.

### Do you do the work yourselves?

Through our trades. Licensed, insured contractors we vet, book and pay do the work, licensed where Ontario requires it. Roundhouse runs the intake and the job, and answers for the result.

### Can you work with our work order system?

Send work orders by email or as an export from your system. The Roundhouse record comes back with each job, and a site log is exported on request.

### What counts as an emergency?

Plumbing, electrical, major appliance and heating or cooling failures, lockouts, and a door that will not lock. A person is on the line within 15 minutes, and a trade on site within 2 hours in the GTA, 4 hours elsewhere in our service area. This website is not an emergency line.

### Are you on ISNetworld or Avetta, or COR certified?

Not yet. Roundhouse is new. Tell us what your prequalification asks for and we will say plainly what we hold today.
